Assistant Administrator (Broward) at CareMax Job Description

The Assistant Administrator provides support in overseeing the overall operation of the medical center.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Assists Center Administrator in the general supervision of personnel within the center.
  • Assists Center Administrator in training and performance evaluation of center staff.
  • Ensures patient flow is maintained throughout all areas of the center.
  • Addresses patients’ concerns.
  • Ensures all areas of the medical center are maintained to the level of cleanliness required.

  • Ensures adherence to budgeted goals in conjunction with Center Administrator.
  • Participates in the planning and development of activities within the center.

  • Conducts annual performance evaluations as applicable.

EXPERIENCE AND REQUIRED SKILLS

  • High school diploma or equivalent required.

  • Minimum of 2 years’ experience in health care administration or related field preferred.

We are seeking a Center Administrator in the Westchester area that supports the Regional Manager in day to day operations monitoring all staff and ensuring policies, systems and processes are followed by every department. Runs monthly departmental productivity reports understanding variables affecting outcomes. Maintains a close relationship with providers serving as source of information and direction in proper electronic record practices and processes.

General Responsibilities:

  • Provides day to day administrative support to the Regional Manager.
  • Performs daily walk through in the morning to access the condition of the center/departments and ensures all staff is at their appropriate department.
  • Manages to work with limited resources and personnel.
  • Redistributes workload in case of absences or vacation among other employees.
  • Ensures all staff is following established processes and procedures in place.
  • Ensures staff is following Human Resources policies such as cell phone and uniform policies, attendance, schedules, etc.
  • Responds to staff inquiries when unsure of job duties, trains staff on system processes and procedures as necessary.
  • Maintains physician tables, updates reports, as needed.
  • Reviews daily reports to monitor amount of no-shows and cancelations and patients seen per day.
  • Informs Regional Manager when there is no patient access to in-house providers and services.
  • Reviews that physician orders are processed in a timely manner.
  • Performs document management and reviews to monitor proper document completeness.
  • Monitors providers PAQ, ensures providers signs notes/results in a timely manner, and deploys plan of action at the time of review.
  • Produces monthly departmental productivity reports of all departments.
  • Attends monthly operation meetings with Regional Manager having a clear understanding of reports and variables that affected outcomes.
  • Works efficiently with physician and other office staff.
  • Maintains professional appearance according to the position.
  • Respects and maintains confidentiality of members at all times.

Qualifications

  • High School diploma or equivalent equivalent experience.
  • Bilingual English and Spanish, required.
  • Medical Assistant certification, preferred.
  • Previous management experience in a medical office.
  • Previous experience working in the healthcare environment, minimum (2) two years.
  • Understanding of medical terminology.
  • Ability to prioritize assignments to complete work in a timely manner.
  • Ability to complete a large volume of work within tight timeframes.
  • Ability to deal with confidential matters.
  • Willing to learn other software systems. Microsoft Office experience.
