Event & Facility Onsite Operations Assistant at Friends of Waterfront Job Description

The Event and Facility Onsite Operations Assistant supports the onsite operational functions of the Event and Operations team, ensuring efficiency and consistency in implementing department processes, onsite tasks, and communication. This role also provides logistical support for all internal and external events with a variety of complexity. This position requires continual demonstration of the following core competencies:

  • Commitment to maintaining an institutional standard for guest experience and level of service.
  • This includes collaboration and coordination with staff, partners, vendors, and other constituencies to ensure successful execution of all events and facility support

This role supports all activities planned, with various levels of complexity. This is a high-volume environment where work productivity, efficiency, and effective communication skills are a must.

Essential Job Functions

Daily Park Operations & Facility Maintenance

  • Perform and complete daily operations tasks, which can be labor-intensive and repetitious – including opening and closing the Pier, setting up activations (games and sporting areas), maintenance of public restrooms, graffiti removal, wiping down tables and chairs, and routinely checking on the general cleanliness of the Pier.
  • Ensure the safety of all guests, performers, and personnel through physical presence at the park – standing and walking for an extended period and working in outdoor environmental conditions for an extended period consisting of wind, rain, snow, and heat.
  • Monitor surrounding area sound pressure levels (SPL), including local construction sites, establishing baseline levels.
  • Inspect various park locations that require climbing stairs and traveling a minimum of 1 mile of waterfront property.

Event Support 

  • Support Production and Operations Managers in the execution of events, including large-scale concerts, dance/fitness classes, beer gardens, craft markets, and various cultural programs, through general support and/or ownership of specific tasks as assigned.
  • Build staging, which may necessitate climbing ladders and working with hand tools.
  • Install and move tents, sporting equipment, and site barricades.
  • Set up and move sound equipment.
  • Monitor event sound pressure levels (SPL), comparing to established baseline levels.
  • Coordinate events of small to medium complexity. At times, act as the point-person for an event.

General Responsibilities and Administrative Support

  • Ensures the safety of all guests, performers, and personnel within this position’s areas of responsibility.
  • While on site, adhere to Friends’ public safety protocols which may include contacting leadership, law enforcement, and other public safety partners.
  • Manages daily communications with internal departments, a resource for other teams, and represents the Event Operations team perspective where necessary.
  • Establish high quality of service and execution standards when working with the public, clients, and staff.
  • Work to ensure customer service is ingrained at the core of the team and is reflected outward to our guests and other staff.
  • Responsible for maintaining personal Outlook calendar, invites, report daily hours via BambooHR, responsive to email communication, and attend administrative training when required.
  • Daily reporting of departmental check lists and follow-up on Park Operations in Microsoft Teams.
  • Coordinate with peers, other departments, and clients to respond to questions, concerns and resolve operations issues.
  • Complete annual training and certification deemed necessary for the onsite roles and responsibilities.

Minimum Qualifications 

  • A minimum of two years of experience working in the events, arts, entertainment, or hospitality industry.
  • A desire to incorporate principles of diversity, equity, and inclusion into all facets of your work.
  • Familiarity with using virtual meeting and collaboration platforms such as Teams and Zoom.
  • Excellent communication skills.

Desired Qualifications

  • Bonus years (5+) of experience in event and venue operations, preferably in the arts, entertainment, or hospitality fields.
  • Experience working in event planning and venue operations a plus.
  • Proficient in Microsoft Outlook, Word, and Excel.
  • Comfort, familiarity, and ability to operate a soundboard.

Compensation and Benefits

The Event and Facility Onsite Operations Assistant is a seasonal/temporary, non-exempt position. The salary range for this position $22-30/hour. Paid time off and transit pass are provided by the organization. Defined contribution retirement plan with a 3% match by the organization is available. For full-time staff, medical and dental healthcare coverage is paid for by Friends.

Work Environment  

This role is located in Seattle, WA. While approximately 10% of this position is currently a temporarily remote position, the other 90% will be required to be in-person, onsite at Waterfront Park.

We are flexible in our scheduling and hours. We can guarantee a minimum of 30 hours a week but are open to hiring someone who is part-time (up to 25 hours per week).

Job Requirements 

  • Ability to individually lift 50lbs, stand for an extended period of time, climb ladders, work with hand tools, ability to communicate and monitor SPL levels, inspect various park locations that require climbing stairs and traveling a minimum of 1 mile of waterfront property.
  • Legal Driver’s License for Production and Operational movements from the various FOW facilities
  • Working in outdoor environmental conditions for an extended period consisting of wind, rain, snow, and heat.
  • Must be willing to work a flexible schedule as determined by business volume.

Community Impact Manager at Friends of Waterfront Job Description

Friends of Waterfront Seattle (Friends) is the nonprofit partner to the City of Seattle that is helping to fund, build, steward, and program a new 20-acre public space along the downtown shoreline. Designed to provide access to the water, green spaces, elevated views, and cultural and recreational opportunities, Waterfront Park will be a place where residents from around the region and visitors from around the world can connect with nature and with one another. In addition to raising $110 million by 2024 to fund park construction, Friends will provide funding for and manage the programs and operations of the park through a joint-delivery partnership with the City of Seattle. Park construction is underway and is scheduled for completion in 2024. The rebuilt Pier 62 opened in the fall of 2020 and is being actively programmed by Friends. As the nonprofit responsible for sustaining and programming the park in perpetuity, Friends aims to create inclusive spaces for community-driven cultural events, recreational activities, and educational opportunities that feel welcoming and safe for all people—particularly Black and Indigenous people, people of color, and other underserved communities. Friends recognizes and acknowledges historic and existing systemic racism embedded in our city. We are committed to becoming an anti-racist organization by prioritizing racial equity within the organization and in the public spaces we operate. The Role
The Community Impact Manageris a full-time, exempt position and reports to the Senior Community Engagement Manager and supports the work of Friends of Waterfront Seattle by measuring and increasing the impacts and effectiveness of community engagement and outreach initiatives and projects. With a focus on community engagement, the Community Impact Manager will work collaboratively with staff, community-based organizations, community members and leaders, and local business owners to develop and or support programmatic initiatives while establishing evaluation tools that will support the development and execution of effective community engagement strategies, cultivate and maintain successful partnerships with a goal of aligning with the organization’s mission, vision, values, and collective goals.
