BROAD FUNCTION AND SCOPE OF THE POSITION:

The Donation Processing Specialist is an active member of JDRF’s donation processing customer service team within our Finance team located in our New York office. Primary responsibilities include working closely with our centralized donation processing support center that provides the caging and service bundle solutions ensuring donations are properly accounted for and recorded accurately.  The position also works closely with our chapter and national teams on donation processes including adjustments, refunds and various customer service support functions to ensure donor giving experience is to its outmost satisfaction. The Donation Processing Specialist is also responsible for general accounting processes (cash receipts, banking, accounts receivable, journal entry and supporting month-end closing).

SPECIFIC RESPONSIBILITIES:

•    Process donations in a timely and accurate manner

•    Ensure accuracy and timely recognition of donations

•    Prepare cash receipts and entries in Salesforce and provide information for the daily Cash Position Report

•    Provide support on donation related issues to internal teams

•    Execute various monthly bank reconciliation, including online donations reconciliations (Credit Card, PayPal, ACH)

•    Perform various reconciliations related to cash and receivable accounts

•    Preparation of accounts receivable journal entries including assisting in timely month end close

•    Contribute recommendations in process improvements

•    Assist with implementing and adherence to internal financial processes and procedures

•    Perform special projects and Ad-hoc analysis

Qualifications

EXPERIENCE & REQUIREMENTS:

•    Minimum of 3 years of relevant experience, preferably with direct experience in high volume donation environment and working relationship

•    Strong donor processing related experience with high level Excel Knowledge (look ups and pivot table)

•    Experienced in using different systems and platforms -i.e. Outlook, Salesforce and ERP (Oracle, MSD 365) is a plus

•    Strong prioritization and organizational skills

•    Ability to work effectively with all levels
•    A team player with customer service focus
•    Excellent verbal and written communication skills

•    Effectively manage multiple tasks simultaneously

EDUCATION:

•    Bachelor’s degree preferred

Join the JDRF Greater New England team to support the chapter’s Signature Events. Under the direction of the Development Manager, Signature Events, and through collaboration and coordination with national and regional teams, chapter staff, and volunteer partners, the Development Coordinator increases the reach and impact of the local Chapter. This role serves as a lead on the annual Gala, the Chapter’s highest-grossing event, as well as the annual Golf Tournament. This position works closely with volunteer leaders from the Gala and Golf Committees, and plays an active role in organizing, coordinating, implementing, and helping to expand assigned activities within the Signature Events team. This position is based in Wellesley Hills, MA. While staff are currently working remotely, the expectation is that staff will return to the office with a flexible/hybrid work schedule when it is deemed safe.

Responsibilities

  • Partners with the Development Manager to identify, solicit, recruit, and develop volunteers for the Gala and Golf Committees. Assumes responsibility for key Development initiatives in partnership with all appropriate team members. Identifies areas that require improvement to ensure the success of each committee.
  • Oversees and strengthens strategy for all aspects of Gala and Golf auction procurement.
  • Serves as the main point of contact for Gala Committee members regarding their auction solicitation efforts, as well as coordination of auction winners and item donors
  • Serves as the main point of contact for assigned Gala and Golf vendors
  • Organizes post-event auction stewardship.
  • Manages vendor meetings/scheduling pre and post event, contracts and invoices, processes and tracks payments, enters expenses into database.
  • Plans and coordinates meetings, agendas, and activities. Prepare presentations, materials, and reports. Assist in the functioning of the Chapter’s daily operations, projects, and tasks.
  • Manages and maintain accurate and complete financial records.
  • Manages a small portfolio of donor and volunteer prospects.
  • Responds to and follow through on inquiries, needs, complaints and/or issues in a prompt and courteous manner. Accountable for meeting deadlines, responding to volunteers, and department requests.
  • Strategically and consistently utilizes CRM data management tool to maximize efficiency and effective tracking of donor pipeline.
  • Collaborates with national/regional staff resource teams and other JDRF chapters to discuss best practices and share ideas.
  • Maintains a good understanding of JDRF’s mission and research efforts.
  • Supports and demonstrates commitment to the vision, mission, priorities, and guiding principles of JDRF. Understands and serves as a key staff member in implementing the strategic direction and purpose of the chapter.
  • Supports other fundraising events, chapter activities, and programs as assigned.                   

Qualifications

  • 2 years of successful fundraising/event experience or relevant business/volunteer experience.
  • Strong attention to detail and organizational skills. Ability to prioritize and organize multiple projects, meet deadlines under pressure, problem-solve and effectively multi-task in a fast-paced environment
  • Must be a self-starter while also being collaborative, enjoys working on a team, and adaptable. Sense of humor a plus!
  • Strong verbal and written communication.
  • Excellent interpersonal and relationship building skills. Ability to build rapport with participants, donors, volunteers, and the public.
  • Knowledge of administrative procedures, such as coordination of people and resources, planning, and resource allocation, as well as ability to develop presentations, reports, and business correspondence, manage files and records, and coordinate other office procedures.
  • Experience with computer systems and databases. Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint). Familiarity with Salesforce, Marketing Cloud, WordPress, Greater Giving, and Canva preferred.
  • Knowledge of administrative procedures, such as coordination of people and resources, planning, and resource allocation, as well as the ability to develop presentations, reports, and business correspondence, manage files and records, and coordinate other office procedures.
  • College degree or equivalent experience.
  • Ability to travel within the chapter footprint. Occasional evening and weekend work as needed.

The Development Manager is an integral member of the staff team, working closely with all chapter staff to increase the efficiency and effectiveness of fundraising and chapter operations. The Development Manager manages, evaluates, and expands cultivation opportunities and communications, that build and strengthen links to potential and existing corporate volunteers and donors throughout the chapter.  This position will support various chapter events, such as JDRF One Walk and the Greater New England Gala through corporate sponsorship and participation.  He or she organizes and executes select components of chapter operations that support the donor giving cycle, from qualification to stewardship. Responsibilities:

  • Serves as a key staff member in implementing the strategic direction and purpose of the Chapter.
  • Collaborates with local staff as well as national/regional staff resources to ensure the Chapter’s growth and success.
  • Helps develop and implement key cultivation strategies for corporate donors and prospects throughout the chapter territory
  • Identifies, builds, and stewards relationships with community, civic and corporate leaders as an integral part of volunteer and donor engagement.
  • Adheres to internal engagement policies and guidelines (National Corporate Partner Handbooks)
