Management Assistant at Maricopa County Job Description

The Management Assistant provides advanced administrative support and analysis services to the Engineering Division Manager and Branch Managers. With minimal supervision and drawing on a broad knowledge and understanding of the Engineering Division’s operations and procedures, the position will focus on productivity and innovation to provide a variety of key administrative support and services such as records management, reports, and presentations, researching and performing analysis, process improvements, assisting with division operational budget and financial management functions, providing database management and administrative support, and serving as a task lead on special projects.

Position Qualifications

  • Associate’s degree in Public, Business Administration or a closely related field


  • Two (2) years of administrative support experience, including budget reporting, tracking, and customer service


  • Related experience may substitute for the required education on a year-for-year basis.

  • Experience providing administrative support and financial management for high-level executives

Essential Job Tasks

The tasks listed are a representation and not an all-inclusive list of essential job tasks for this position.

  • Coordinates administrative activities and resources for the Engineering Division Manager
  • Receives, researches, gathers information, performs analysis, and processes requests and/or responds to inquiries
  • Supports the Division Manager in the preparation, analysis, and monitoring of the Engineering Division’s Operating Budget including monthly tracking and forecasting of expenditures
  • Supports the Assistant Division Manager with program management and administrative activities in support of the 5-Year Transportation Improvement Program
  • Prepare monthly financial reports for the Division Manager and Branch Managers
  • Coordinates the development and updates to the Engineering Division strategic plan and coordinates the data collection, analysis, and reporting of quarterly and annual performance measurements.
  • Enters and maintains all division administrative and financial databases that include On-Base, Share Point, BEST, WAMI, Purchase Tracker, TIPR and TIP applications, and vehicle maintenance management
  • Prepares and processes all travel requests and accompanying payments
  • Provide administrative and technical support for each of the technical groups including the Land Survey, Utilities Coordination, Roadway, and Drainage Engineering, Structural Engineering, Materials Technology, Environmental Programs, Systems Planning, and Project Management Branches
  • Updates manual and computer records and tracking systems and assures the accuracy of databases

Working Conditions

Must be able to work in a normal, indoor office environment, must have the manual dexterity of hands and body to operate office equipment; must be able to manage frequent interruptions, time pressures, high work volumes, multiple and complicated tasks, unscheduled tasks, team-oriented activities, prompt decision-making and interaction with government officials and the public; must constantly maintain concentration, accuracy, ethical behavior and a professional demeanor. Must be able to climb, crouch, bend, and lift/carry up to 50 pounds over short distances. This position requires travel to and from job-related meetings, subject to County policies regarding the use of County vehicles and/or private vehicles used on County business.
