UMC Business Development Manager at University of Colorado Job Description

Job Summary

This position serves as one of the leaders of Event Planning in the CU EP&C (Events Planning & Catering) Office. The CU EP&C office is a unit of the University Memorial Center (UMC). This position will manage and oversee three distinct sub departments within the UMC: the EMS Software system, the Campus Alcohol Services and the Connection Bowling and Games area. All three of these sub-departments have unique impacts to campus. This position will work in collaboration with the UMC Event Planning manager, providing information to CU EP&C planning staff. This role partnered with the UMC Event Planning Manager and the UMC Assistant Director for Events will serve as the Leadership of the CU EP&C office in the UMC. This role will supervise 3 full time staff in areas that make a large impact on campus. Position acts as operational back up to all three positions (EMS Coordinator, Campus manager of Alcohol Services and Connection Manager) ensuring that they are able to act on their behalf in case of absence. This position interacts with all levels of staff and faculty and at times is expected to work evenings, as well as work occasional weekend hours to support business in the UMC.

Campus Alcohol Services:

Supervises the Campus Manager of Alcohol Services (CMAS), performing coaching sessions, performance planning and evaluation.
Responsible to be the operational backup in the absence of the CMAS. This could include the interpretation of Campus Alcohol Policy and State of Colorado Liquor Enforcement Division (LED) codes and laws.
Position must be familiar and able to initiate campus documentation for Campus clients to host and be in compliance with alcohol service on campus.
Ability to initiate a Special Event Packet in the absence of the CMAS.
Works collaboratively with CMAS on any updating of campus forms to ensure streamlining and efficiency.
This role will become TIPS certified, and may be called upon to check identification when event volume is heavy on campus.
Completes event spots checks when needed due to event volume or in the absence of the CMAS.
Facilitates meetings with CU Legal, Risk Mgmt., CU Police, and other stakeholders on site survey for Special Event Permits (SEPs).
Attends quarterly LED meetings for State of Colorado updates on alcohol or impending statute changes.
Is an active member of the Restaurant Hospitality Association and attends monthly meetings.
Researches and encourages staff to participate in professional and personal growth opportunities.
Establishes and maintains customer service standards to full time staff when working with clients.

EMS Coordinator:

Supervises the EMS Coordinator performing coaching sessions, performance planning and evaluation.
Responsible as the operational backup in the absence of the EMS Coordinator. This could include the creation of an EMS building or room with the scheduling software, or adding EMS resources. Position must be familiar and able use the EMS software and ensure that the R-25 daily import is completed by student interns.
Oversees the EMS Coordinator who ensures that the scheduling software is updated with correct campus building and room information, has the correct pricing structure and the client database is kept updated and pristine.
Understanding of how to input clients into the EMS data base and works with the Center for Student Involvement (CSI) on the Recognized Student Organization (RSO) database.
Collaborates with EMS coordinator to ensure scheduled updates and releases are done properly and correctly.
Works with EMS coordinator to establish professional working relationships with EMS /Accruent and University OIT department.
Facilitates meetings with new University departments wanting the EMS scheduling service to ensure all aspects of the request are understood and provide campus consistency.
Establishes quarterly meetings with campus EMS users, offering updated training, new processes or provide guidance to the campus community in conjunction with the EMS Coordinator.
Attends professional services calls with Accruent and OIT along with EMS Coordinator.
Collaborates with CU EP&C planning staff on the revision of templates in EMS, to ensure efficiency and streamlining.
Researches and encourages staff to participate in professional and personal growth opportunities.
Establishes and maintains customer service standards time when working with clients.

The Connection:

Supervises the Connection manager performing coaching sessions, performance planning and evaluation.
Responsible to be the operational backup in the absence of the Connection manager. This could include both the opening and closing procedures of the Connection Bowling and Games areas, the creating of EMS reservations for clients, the use of the Qubica software bowling software, the operation of the Connection bar, etc.
Able to use the EMS software and Qubica software and the credit card machines.
Collaborates on the development of monthly financial projections.
Works with Connection Manager on development of semester programming to attract CU students and the marketing of the Connection.
Work together with Connection manager on new ideas for food and beer service in the Connection.
Ensures that Connection manager continues to develop professional working relationships with Qubica, CU EP&C, UMC Set-up , UMC Security , UMC Maintenance staff, the UMC Accounting staff and food and beer distributors.
Oversees the Connection manager to coordinate semester training meetings with new Connection part time student employees. Position will ensure that all necessary training and deadlines for student employees are met by the Connection manager.
Attends professional services calls with Qubica.
Researches and encourages staff to participate in professional and personal growth opportunities.
Establishes and maintains customer service standards when working with clients.
Strategic Relationships and Partnerships:
Position develops strong working relationships and rapport, meets regularly and maintains close working relationships with campus departments, external clients and community constituents. This includes a formal liaison role between Registrar’s offices working with CU EP&C Planner manager identifying academic spaces that are available for non-academic events’ campus wide.
Ensures timely updates are provided to all three sub department managers on policy and/or procedure changes of all campus departments.
Facilitates the development of new partnerships for the benefit of enhancing current services available to clients.
Participates in departmental and campus committee work and fulfill all tasks discussed and/or requested.

EP&C Administrative Functions:

Works collaboratively with the Event Planner Manager and the UMC Assistant Director of Events to lead areas consistently, communicate effectively, and to develop long-term strategies for the success of the CU EP&C Office.
Evaluates existing sales practices in the Connection and procedures in all three sub departments making recommendations to the UMC Assistant Director for Events for continual improvement.
Manages process implementation for changes in sales practices in the Connection and recommends and implements unit policies and procedures necessary in all three sub departments.
Establishes and maintains customer service standards related to all three sub departments. Monitor results of customer satisfaction assessment, identify gaps and develops and implements strategies to ensure unit meets identified targets in this area. Position administers regular assessment of client experience in conjunction with Assistant UMC Director for all three areas.
Looks for the development of campus scheduling, attaching policy, forms, and links around all facets of campus event planning.
Position contributes to the development and implementation of the UMC strategic plans, as well as short- and long-term goals.

What You Should Know

This position will have some evening and weekend work.
This is an on-campus position initially but has the option of a hybrid work schedule to be determined to best support the operations of the department.

The Campus Controller’s Office encourages applications for a Grant Accountant! We are responsible for administration of the extramural research grants and contracts to the University of Colorado Boulder. The duties and responsibilities of this research administration position include the post award financial administration and accounting of grants and contracts awarded to the University of Colorado Boulder by Federal and Non-Federal sources.

CCO maintains and supports the university’s fiscal responsibility through accurate financial accounting and reporting and in compliance with laws, regulations, policies/procedures, and contract requirements for sponsored projects. We provide oversight, assistance, and training in financial stewardship for the Boulder campus.
Research Financial Services (RFS)
RFS ensures accurate management of restricted Funds 30 through 33, provides financial oversight for sponsored projects, prepares financial reports and invoices, manages all revenue cycle activities for the research enterprise, coordinates financial closeouts, and works directly with the Office of Contracts and Grants to coordinate information for relinquishment of awards.
Maintain extensive sponsored program knowledge and provide training, instruction, and guidance to campus partners. (Strategic Priority: University Satisfaction): 
  • Develop and maintain an extensive working knowledge of University, State, Federal, and funding agency policies and procedures. Develop a strong rapport with funding agency personnel.
  • Have a current understanding of University and UC System operations (e.g. Accounting, Purchasing, Property Control, etc.) and the inter-relationships between these operations and extramural support operations.
  • Maintain an extensive working knowledge of Uniform Guidance (UG), Federal Acquisition Regulations (FAR), Cost Accounting Standards (CAS), and Generally Accepted Accounting Principles (GAAP).
  • Provide training, instruction, and guidance to campus partners regarding sponsored programs policies and procedures; interpreting University, Federal, State, and funding agency policies and procedures for the assigned awards and/or contracts; and interpreting extramural University accounting data.

Administer fiscal operations of sponsored grants and contracts. (Strategic Priority: Process Excellence): 
  • Analyze approved budgets and award/contract documents issued by funding agencies for all applicable fiscal, post-award, billing, payment, closeout reporting requirements, and terms and conditions for a specific award portfolio.
  • Advise campus partners (Principal Investigator, Dean/Director, and Department/Institute Research Administrator) through written and oral correspondence of specific grant/contract financial restrictions and terms and conditions. Advise campus partners of any subsequent changes to these terms and conditions. Maintain and enforce policies and procedures to ensure compliance with all fiscal requirements related to the assigned awards and/or contracts.
  • Interpret and analyze University accounting data for compliance according to the approved budget and all applicable policies and guidelines (i.e. University, Federal, State, funding agency). Communicate lapses in compliance to campus partners and CCO leadership as applicable. Coordinate the resolution of post-award issues in collaboration with campus partners, funding agency and CCO leadership.
  • Review and process requests from campus partners for administrative and/or processing changes (e.g. indirect cost and/or budget adjustments, cost transfers, spending control edits, project end dates).
  • Establish, maintain, and reconcile grant/contract records to ensure compliance with specific grant provisions or restrictions. This may include cost sharing, fixed assets, budgetary restrictions, etc.
  • Facilitate award closeout procedures including performing final reviews of awards/contracts/project expenditures, payments and accounts receivable. Process closing entries in the University’s accounting system as needed.
  • Provide insight to the Office of Contracts and Grants (OCG) Contract Negotiation team to resolve contract negotiation questions related to invoicing and financial reporting.
  • Support University partners, including the OCG Sub-agreements Team, in their activities to initiate, prepare, compose, and negotiate subcontracts. Topics include invoicing, financial reporting, budgeting, and/or other relevant terms and conditions.
  • Assist with site visits, Federal and Non-Federal system audits, and/or individual project audits, in collaboration with the CCO Audit Coordinator and campus partners.
  • Review, analyze, and approve interdepartmental invoice journal entries and cost transfers impacting sponsored projects.
Prepare and submit financial and other post-award reports for grants and contracts. (Strategic Priority: Process Excellence):
  • Facilitate, prepare and submit required interim and final financial reports.
  • Facilitate, prepare, and submit final post-award closeout reports, as applicable, in collaboration with CCO Property Control Team, OCG and campus partners.
  • Prepare semi-annual Small Business Subcontracting Reports for the Federal Government, as applicable.
  • Effectively manage all applicable financial, post-award, and closeout results for the assigned awards and/or contracts by establishing and maintaining PeopleSoft achievements.
Administer Sponsored Projects billing and letter of credit activities. (Strategic Priority: Process Excellence): 
  • Prepare and submit interim and final invoices.
  • Prepare and submit Federal Letter of Credit draw requests.
  • Monitor sponsored projects accounts receivable. Collaborate with CCO Revenue Management on follow-up procedures for aged items in accordance with the CCO collection policies to encourage prompt payment. Collaborate with campus partners and CCO leadership to address uncollectible accounts receivable issues.
  • Reconcile payment receipts to funding agency records.
  • Determine when a refund of receipts payment is due to the funding agency and perform necessary actions to initiate a payment when appropriate.
Training (Strategic Priority: People Development):
  • Attend meetings as CCO representative at the University, Regional and/or National levels.
  • Seek opportunities for professional development and training for self.
Special Projects (Strategic Priority: Infrastructure Enhancement): 
  • Develop/prepare reports or surveys requested by CCO leadership.
  • Assist in the origination, development and implementation of improved procedures and systems for grants and contracts management.

Stewardship & Event Coordinator at University of Colorado Job Description

Supports the department training program, for assigned areas, ensuring site logistics department training documentation is current and up to date. Supports the annual training program review with department leadership, as needed. Requires established basic technical skills to perform a range of routine work activities using existing processes and methods.

Responsibilities / Duties

  • Ensures local, global, and business curriculums are assigned in line with needs and requirements.
  • Acts as the subject matter resource for the learning system and coaches employees on how to access and utilize learning resources.
  • Provides feedback on global curriculum and supports local implementation of global Instructor Led courses, as appropriate. Works with Course Owners/SMEs, to coordinate the development of local training, as applicable. Coordinates site logistics resources for delivery of training. Optimizes cost of delivery for local and global training in site logistics.
  • Ensures appropriate local subject matter experts review and approve site logistics specific training and learning resources and that all local learning resources are up-to-date and available.
  • Partners with key stakeholders to develop and maintain employee specific training schedules and plans.
  • Ensures all required employee training records are up-to-date and maintained. Tracks compliance and communicates overdue training to deliver 100% training compliance. Performs other audit related reporting.
  • Works with management of change (MOC) owners to ensure that training related requirements are achieved.
  • Engages in on-boarding of new employees and contractors into site logistics.

Skills and Knowledge and abilities:

  • Required education: associate technical or administrative degree or relevant experience.
  • Experience: 0-2 years
  • The critical competencies required for success are: act upon safety requirements, understanding customer needs, team work, taking initiative, time management, technical proficiency in use of computer applications and University of Colorado policies and procedures
